Payroll & Benefits Specialist

As a member of the Human Resource Team oversees the benefits and payroll function for 500 employees. Partners with Ceridian and ADP payroll services to process, balance and ensure compliance with HR, Finance, and company policies, procedures and processes. He/She understands the confidentiality and sensitivity of the function and has ethical business practices.

Full-time, Permanent

Responsibilities:

  • Process bi-weekly payroll for over 550 employees (hourly/salaried), to ensure employees are paid correctly and on time
  • Manages and organizes the Personnel Records for payroll deductions, leaves, transfers and terminations, new hires, salary changes and adjustments via an automated payroll system
  • Reconciles account balances and complies with the company policies, practices and /or regulations and National, Provincial laws, regulations and legislation.
  • Manages, reports and communicates any discrepancies in payroll information and/or documentation (e.g. time sheets, leave time, etc.) to ensure accuracy and adherence to procedures prior to processing
  • Collaborates and communicate with management, employees and external vendors to provide documentation for financial institutions that is necessary to complete transactions.
  • Verifies a variety of payroll-related information (e.g. time sheets, direct deposits, wage attachments, benefits, etc.) for the purpose of ensuring accurate distribution of funds and payroll.
  • Conducts regular file maintenance (payroll and employee) quarterly.
  • Reconciles each payroll the headcount report that includes new hires, departures, Leave of Absence, etc.
  • Communicates with a variety of internal and external parties (federal agencies, etc.) for the purpose of ensuring accurate processing of payroll deductions/garnishments.
  • Facilitates and records meeting minutes for the purpose of identifying appropriate actions, developing recommendations and supporting other staff. Attends meetings for the purpose of conveying and/or receiving information required to perform functions.
  • Manage the calculations and reporting with WSIB, CPP, Ceridian, ADP, etc…benefits and life insurance provider, as well as STD, LTD, MAT leave, LOA’s O/T etc. Responds to written and verbal inquiries for the purpose of providing information and/or direction in a timely manner
    Calculation of Manual cheques
  • Accountable for Headcount and other reports. Balance payroll to Headcount on a bi-weekly bases
  • Ensure that all reports are completed on time
  • Administer and explain benefits to employees
  • Serve as a liaison between insurance carriers and employees
  • Update and maintain the benefit system for employee changes and new enrollments
  • Act as a resource for the Human Resources Team on the development and interpretation of policies, terminations, new employee orientation and Employment Standards Legislation.
  • Manage and administer Group RRSP Program.
  • Involved in different projects as assigned
  • Other duties as assigned.

Qualifications, Experience and Educational Requirements:

  • 3 to 5 years of progressive management experience in a Payroll and Benefits position
  • 3 years of experience with Cerdian Dayforce and ADP Payroll System, HRIS and SAP is an asset
  • Interpersonal and collaborative team player
  • Excellent customer service and problem-solving skills, strong knowledge of general compensation and Payroll legislation
  • Proficient computer skills including Advanced Excel and Access knowledge
  • Excellent oral and written communication
  • Ability to the practice of a high level of confidentiality
  • Certified in Payroll

Working Conditions:

  • Sitting in front of the computer for long periods of time
  • Required to wear safety boots/smock on the production floor
