Job Description
The Administrative Associate will provide quality, efficient and specialized administrative support on multiple and diverse range of assignments. This position will provide dedicated support to an Investment Advisor (IA) and Client Service Associate (CSA) and as required to other branch staff. The role will involve a fair degree of complexity and will include but is not limited to the following accountabilities:
• Correspondence and assemble documentation for accounts;
• Maintain accurate marketing materials, assemble required documentation in advance of sales presentations and assist with marketing mail out activities;
• Maintain current knowledge of, and comply with, all compliance regulations, securities laws, risk & confidentiality requirements and the Codes of Conduct & Ethics,
• Process client applications and transfers in a timely manner;
• Maintain complete client files and ensure documentation in good order.
• Participate fully as a member of the team and contribute to a positive work environment;
Support the CSA and IA with all administrative tasks related to marketing, client service and relationship management. This may include by not limited to:
• Produce reports, compose a variety of correspondence and assemble documentation for accounts;
• Maintain accurate marketing materials, assemble required documentation in advance of sales presentations and assist with marketing mail out activities;
• Maintain current knowledge of, and comply with, all compliance regulations, securities laws, risk & confidentiality requirements and the Codes of Conduct & Ethics,
• Process client applications and transfers in a timely manner;
• Maintain complete client files and ensure documentation in good order.
• Participate fully as a member of the team and contribute to a positive work environment
Job Requirements
Education/Accreditations:
• Undergraduate Degree or Community College Diploma preferred
Must have /Skills/Experience:
• Possess excellent communication skills
• Proven ability to deliver a high level of client service- over the phone
• Detail oriented and highly organized
• Ability to work in a fast-paced, dynamic environment.
• 5 to 7 Administrative support
• Client service background
• Ability to work the duration with no time off
Proficient with firm software & MS Office Suite
Nice to Have:
