Facilities Manager

Our client is one of the world’s leading manufacturers and marketers of quality skincare, makeup, fragrance and hair care products. 

Currently, we are seeking a Facilities Manager to join the team in the Markham location. The Facilities department services 3 manufacturing sites and 2 innovation centers.  A department manager is required to ensure customers’ requests, building maintenance and small projects are coordinated and executed to the customer’s satisfaction.

  • PEng (Professional Engineer) certification preferred.
  • Travel Time: 5%

KEY ROLES & RESPONSIBILITIES

Leadership: to conduct performance management including talent planning, salary decisions, hiring) of direct reports. To plan for the department’s future needs and operation.

  • Performance monitoring, coaching and evaluation of all employees, to include corrective counselling, new hires and termination.
  • Orientation and training of new employees, development and monitoring of individual employee goals.
  • Daily attendance, employee information forms, vacation planning, payroll exception reports, weekly production reports.
  • Complete performance reviews.
  • Oversee workflow based on tasks assigned and collaborate with the facilities maintenance coordinator in Analyzing and developing training requirements for reports.
  • Develop, implement and manage departmental vision, goals and objectives such as T.I.R, Adherence to PM schedule, service level standard. Address shortfalls.
  • Provide a level of customer service to internal customers and external vendors consistent with corporate objectives.
  • Ensure compliance with: personal protective equipment guidelines, appropriate lockout/tag out procedures, emergency response procedures, WHMIS requirements, and ergonomic programs.

Budget Responsibility: to manage service calls for breakdowns, continuous improvement projects, consumables and preventative maintenance for  Facility’s against annual budget

  • Manage Department Budgets, POs, accruals and coordinate budget reporting.
  • Coordinate utilities data entry to corporate reporting spreadsheet.
  • Author company Vendor agreements.

Management of Department Activities:

  • Analyze root cause of break downs and assign tasks or contact vendors to repair in a cost-effective manner.
  • Evaluate and troubleshoot daily building service breakdowns, identifying a cost effective short term or long term plan and repair schedule.
  • Receive Facilities request emails and place service calls, contact Tenant Landlord and/or assign tasks to Facilities staff.
  • Resolve such issues as building deficiencies, incidents, power outages resulting from equipment failure.
  • Manage internal and contracted PMs for systems such as HVAC, Dust Collectors, Fire System, Temperature Monitoring System, Air Flow Monitoring, Ladders, etc.
  • Work internally and with other departments to ensure an ongoing Continuous Improvement Program.
  • Engage the workforce and implement/maintain lean tools (5S, SMED, Value Stream mapping, OEE, etc.) in support of the LEAN initiative.
  • Work closely with the Health and Safety Committee and GMP staff ensuring that all processes and work areas are compliant throughout the Production areas.
  • ESSA audits, XL insurance annual GAPS survey/inspection.
  • Participate in GMP Audits (internal, HC, FDA, etc.).
  • Work with Production Engineering to ensure site building services are maintained, repaired in a timely manner.
  • Work with Project Managers and support Capital Projects requiring Facility Renovations to meet customer’s satisfaction.
  • Seek new vendors, coordinate addition to SAP.
  • Documentation Management. Maintains up to date documentation ensuring Facilities Share Point is up to date.

 

Qualifications 

  • Minimum Education Level: College Diploma
  • Minimum Years of Experience: 5 Years
  • P.Eng. (Professional Engineer) preferred.
  • Strong mechanical aptitude, equipment and process knowledge.
  • Good organizational skills, excellent problem solving and communication skills.
  • Computer literate in MS office, SAP experience an asset.
  • Experience leading and growing a team an asset.
  • Proven use of LEAN tools and initiatives. Six Sigma Green belt an asset
